Responsibilities
Administrative Support

  • Provide general administrative support including scheduling, document preparation, and correspondence.
  • Organise and maintain filing systems (digital and physical) with accuracy and efficiency.
  • Coordinate meetings, prepare agendas, take notes, and ensure follow-ups are tracked and completed.
  • Assist with procurement and office management tasks, including vendor coordination and resource availability.

Finance Support

  • Assist in preparing financial documents, invoices, and payment processing.
  • Maintain accurate financial records, including expense tracking and reconciliations.
  • Support the finance team in preparing monthly and quarterly reports.
  • Ensure compliance with financial policies, procedures, and documentation standards.

Technology & Digital Tools

  • Use digital platforms (Google Workspace, Zoom, Slack, etc.) to support smooth team operations.
  • Assist in setting up and maintaining digital workflows, databases, and reporting systems.
  • Identify opportunities to automate repetitive tasks and recommend practical digital solutions.
  • Support colleagues in troubleshooting basic tech or system-related issues.

Team Collaboration & Coordination

  • Work collaboratively with team members across departments to meet organisational needs.
  • Provide reliable admin, finance, and tech support to ensure program and operational success.
  • Help maintain a positive, efficient, and well-organised team environment.

What We’re Looking For

Education

  • Diploma or Degree in Business Administration, Accounting, Finance, Secretary, Information Systems, or related field.

Work Experience (at least one of the following):

  • Experience in administrative support, office management, or finance roles.
  • Exposure to technology-driven workflows or digital operations.
  • Hands-on experience with basic bookkeeping, procurement, or reporting.

Skills & Competencies

  • Proficient in Google Workspace (Docs, Sheets, Slides), Microsoft Office, and online collaboration platforms.
  • Familiarity with accounting software (e.g., QuickBooks).
  • Strong organisational and time management skills with attention to detail.
  • Basic data analysis and reporting skills using spreadsheets or dashboards.
  • Good communication and interpersonal skills to work with diverse teams and stakeholders.
  • Ability to multitask and manage priorities effectively in a fast-paced environment.

Other Requirements

  • Based in Bandung or willing to relocate to Bandung.
  • Willing to support team operations and program needs as required.

Additional (Bonus)

  • Experience automating tasks using AI or interest in learning and applying AI-powered productivity tools.
  • Exposure to NGO or education-focused administrative and finance operations.
